Member Compliance

Track and manage member certifications like coaching credentials or safety requirements, and require them during registration.

Member Certifications let you track and manage certifications for your members — things like coaching credentials, safety courses, or any other requirements your league needs on record. It's included in the Core bundle at no extra cost.

You can access the Certifications under Member > Certifications.


Create a Custom Compliance Type

Before you can assign certifications to members, set up the certification types your organization uses.

  1. Go to Members > Compliance.

  2. Click Requirements in the top right.

  3. Click Add Requirement.

  4. Fill in the details:

    • Name — the certification type (e.g., "First Aid", "Coaching Level 1")

    • Has unique ID — set to Yes if each certification has its own ID number

    • Has start date — set to Yes if the certification has a start date

    • Has end date — set to Yes if the certification expires

    • Has document — set to Yes if members need to upload a document

  5. Click Add.


Manually Add a Member Compliance Record

Once your certification types are set up, you can assign certifications to existing members.

Note: A person must already be a member of your organization to be assigned a certification. The only way to add someone as a member is through your league's registration form.

  1. Go to Members > Compliance.

  2. Click Add Compliance Record in the top right.

  3. Search for the member you want to assign the certification to.

  4. Select the Requirement type from the dropdown.

  5. Fill in any applicable fields (start date, end date, details, document).

  6. Set the Verified status — leave as Pending if you haven't reviewed it yet.

  7. Click Add.


Require a Certification on a Registration Form

You can require participants to submit a certification as part of your registration process.

  1. Go to Registration and open the form you want to edit.

  2. Click into the Registration Group you want to add the requirement to.

  3. Go to the Requirements section.

  4. Under Compliance, click + Add Requirements.

  5. Select the record type you want to add.

Participants will be prompted to submit their records when they register.


Next Steps

  • View and manage submitted certifications under Members > Compliance.

  • Export list of compliance records using the Export button on the Compliance page.

  • Send a bulk email to members from the through the Compliance Tab.
