Smart Importer lets you upload one or more files and automatically creates your locations, teams, divisions, rosters, and schedules — no template required.
Where to Find Smart Importer
Go to Organization Tools > Smart Importer in the main nav.
Any existing import option — Import Roster, Import Teams, or Import Schedule — will also take you to Smart Importer.
What You Can Import
Smart Importer detects and organizes four types of data:
Locations
Teams
Rosters
Schedules
Mix all four in one file, or upload separate files — either works. Supported file types: CSV, TXT, XLSX, ODS, PNG, JPG, JPEG, and PDF.
Importing Schedules
If your team names are unique across all your divisions, you don't need a division column in your file — the importer will recognize the teams on its own.
If you have similarly named teams in different divisions, include a division column. This helps the importer match each team to the correct division.
Division Structure Behavior
If you haven't made any changes to your division structure, and your file includes a division column, the importer will automatically create those divisions for you.
If you've already edited your division structure, the importer won't create new divisions — this avoids disrupting your existing setup. In this case, create the divisions manually before importing.
Importing Rosters
Imported rosters are not linked to their registration records.
If you run registration through TeamLinkt, use the Participants tab > Roster button (top right corner) instead for a smoother experience.
Tracking In-Progress Imports
Once you start an import, you don't need to stay on the screen — it's safe to navigate away.
To check on it later, go to In-progress imports. Each import shows its current status:
Interpreting files
Ready for review
Failed
You can Resume or Cancel any import from this screen.
Reviewing Your Import
Once your files are interpreted, Smart Importer shows you what it found before anything is created:
Will be created — records that are ready to import
Skipped — records you've chosen not to import
Couldn't interpret — records the importer couldn't process
